Late Ad Request System
To resolve inefficiencies in how post-deadline ad requests were handled, I designed a streamlined, form-based workflow that replaced a fragmented and error-prone email approval system. Previously, sales reps were instructed to email requests to the Creative Services Team Lead, who would manually assess design capacity, contact layout staff, and coordinate approvals—a process prone to delays, incomplete information, and communication breakdowns.
Recognizing the potential of existing tools, I leveraged Cognito Forms—already in use at the company—to build a logic-driven request system without additional financial investment. Drawing on my expertise as a power user of Cognito, I created a workflow that automated approvals, enforced data integrity, and ensured proper communication across departments.
Key elements of the system included custom user roles, defined statuses, and conditional actions. Using Cognito’s If/Then/Else logic, I dynamically displayed, required, or prefilled fields based on workflow status and user role, while also automating notifications to stakeholders.
I planned and wireframed the system using LucidChart, constructed the components in Cognito, and presented a demo to the Advertising Efficiency Team. Stakeholder feedback guided refinements to the form’s logic and data structure.
Problem or Challenge
Sales reps often omitted key request details, failed to copy all stakeholders, or contacted the wrong individual for approval. No enforcement mechanism existed to ensure procedures were followed correctly.

Result
Significantly improved data accuracy, interdepartmental communication, and request turnaround time. Centralized form ensured complete data collection, guided user input, and provided real-time tracking. User roles and flexible permissions allowed efficient use of limited licenses. Automated notifications accelerated approvals and provided transparency, while file upload options enabled streamlined booking and submission in one step.
